Bookings and redemption of Floating Images Gift Experience Vouchers can be undertaken at any time online or via contacting the booking office via email or phone during office hours.
As Floating Images is a boutique ballooning operator with limited passenger numbers per flight (ie maximum 10 passengers per flight per day), advance bookings are recommended.

Full payment or a holding deposit of 50% of the total booking value, at least 14 days prior to your flight, will confirm your booking. Full payment is required within 7 days prior to your flight date. Group bookings of 4 or more: full payment required within 14 days prior to your flight. Any booking not paid for 72 hours prior to your flight date may be cancelled by Floating Images. Your booking is not confirmed unless a confirmation reference number by Floating Images has been issued. Passenger’s names, estimated weights in kilograms and after hours contact or mobile phone number will be required for booking and flight manifest purposes.

7. Weather, Mechanical, Staffing & Other Safety Conditions:
Hot air ballooning relies on suitable weather conditions in order to proceed safely. Information on specific weather considerations are provided for at the time of commencing the flight. Our launch, landing and flight path is determined by the most up to date meteorological conditions to ensure the safest possible flight for all concerned on the day. Additionally, flights may be dependent on mechanical performance, operational or ground conditions, or staffing (pilot & ground crew) availability. When conditions are deemed by Floating Images to be operationally unsuitable or unsafe to proceed, then flights may not go ahead on the scheduled date. Similarly a flight may be postponed due to less than minimum passenger numbers being achieved for our standard ballooning program ie 4 passengers. Exclusive flights are based on a minimum of two passengers and are subject to availability of operational resources. It may be necessary to postpone a flight at any time, if in Floating Images judgment the conditions are not suitable. We reserve the right to cancel a flight at any time up to the moment of launch. Please be aware it can take a few attempts to fly.

In the unfortunate event that a flight must be delayed, rescheduled or cancelled due to any of the above factors, Floating Images will hold payment in credit and offer alternative booking dates (see Section 10). The after-flight restaurant breakfast component of the Service will not proceed if the flight is cancelled. If you are on a ‘balloon package’ (eg. Ballooning, Koala & Cruising Package) and the flight is cancelled due to any of the aforementioned reasons, the accommodation / meals / attraction or cruise/ transfer portion of the package, if used, must be paid. Floating Images will not accept any liability for travel, accommodation, inconvenience or other costs incurred or lost through such cancellation. International, interstate and country visitors should factor the possibility of short notice cancellation into their plans.

Weather conditions can also affect the duration and route of each flight and our location; Floating Images endeavours to give each passenger the best ballooning experience possible, subject to the daily wind and weather conditions. With passenger’s safety always at the forefront of pilots concern: a flight altered in route, or landing earlier than anticipated, will be deemed as a completed flight for that day provided the flight is more than 40 minutes duration.

8. Re-fly:
On very rare occasions a flight deemed by the pilot in command to be of poor quality; this may be a flight that is either shorter than normal or may experience poor visibility. The pilot may offer to re-fly all passengers free of charge. Any free of charge re-fly can only be taken by the passenger on the original flight. The offer to re fly must be scheduled on a weekday and undertaken within 6 months of the original flight date. This is not transferable. Only the flight component will be offered free of charge. Any other components such as after-flight breakfast, inflight photos will be at an additional participation cost.

Floating Images reserves the right to amend these fees and notice periods. When special circumstances arise, some of these Terms and Conditions may be superseded by those published on your booking confirmation documentation.

As an aviation boutique ballooning business focused on a small group of passengers on any flight day, Flight Alteration & Cancellation of a Booking T & C’s are in place, as short notice cancellations or flight date alterations have the potential to impact on passenger numbers and operational considerations and overall flights proceeding. Bookings are transferrable to other individuals. Passengers are advised to make their own insurance provisions in case of any unforeseen circumstances including being unwell or unavailable to fly. Your understanding is appreciated.

10. Rebooking Your Flight or Receiving a Refund:

Rebooking a flight is subject to availability. We do ask that you contact us within 90 days to arrange another flight date. In the unfortunate event that a flight must be delayed, rescheduled or cancelled due to any of the above factors, Floating Images will hold payment in credit and offer alternative booking dates. If the rescheduling of the flight exceeds 90 days, and if there is a price difference since the initial booking date, amount paid and/ or the voucher value redeemed, an adjustment and additional fare payment may be necessary. Rebooking must be done within 12 months of the first cancelled flight date. There will be no refunds for bookings held on our system for longer than 6 months. Cancellation fees are non-refundable.

If your flight booking or travel/ experience voucher has not been purchased directly from Floating Images, but from another party such as a travel booking agent, tour operator or online experience booking service, then that parties conditions of purchase will also apply. Once third party vouchers have been redeemed to undertake a Floating Images ballooning experience, the customer has accepted Floating Images terms & conditions (Section 1). If your flight has been cancelled (as per Section 7 & 9), and the rescheduling (as per Section 10) of the flight exceeds 90 days, and if there is a price difference since the initial booking date, amount paid and/ or the voucher value redeemed, an adjustment and additional fare payment may be necessary.

Please note, under third party terms & conditions, Floating Images cannot provide a refund direct to the customer. The customer will need to contact their booking agent for any refunds and/ or credits. The booking agent will confer with Floating Images for cancellation & / or refund verification. Such booking agents may at their discretion retain booking fees less than or equal to 100% of the price.

12. Passengers Responsibility:
(a) You must fly within the time limit of your Experience Voucher validity guidelines (Section 15) or rebooking date guidelines (Section 10).
Given Floating Images is a boutique ballooning experience with limited passenger numbers per flight and dependant on suitable weather conditions, please do not leave it to the last week or day to book. We do have live availability for flights on our website for ease of booking.

(b) It is your responsibility to ensure you have received booking confirmation details direct from Floating Images of your flight. Please check your emails (inbox, spam & junk mail) for @floatingimages.com.au correspondence. Please notify the Floating Images office immediately, prior to your flight date if you have not received this information (this applies to all direct or third party agent bookings).

(c) It is the passengers responsibility to advise Floating Images, no later than 48 hours prior to the scheduled balloon flight, the passenger’s names, estimated weights in kilograms and after hours contact or mobile phone number (to be switched on) for flight manifest and contact purposes.

(d) It is the passenger’s responsibility to follow the check-in procedure outlined in the confirmation letter. If you do not contact the duty pilot the evening before your flight as required between 7.00 and 7.30 p.m., Floating Images cannot be held liable for the consequences of not checking in with your pilot and receiving the latest instructions. Passengers are also required to ensure they/ you arrive at the designated meeting place 10 minutes prior to the advised meeting/ departure time.

(e) In the interests of safety, passengers undertake to follow the advice of the pilot and ground crew, comply with any local codes of conduct and act sensibly and prudently at all times. Passengers also agree to indemnify Floating Images, its owners, officers and employees for all losses and/or damage arising from any act or default on your part or the part of a member of your party. Under no circumstances at any time during supply of the Services should you or a member of your party be under the influence of drugs or alcohol, nor should you take medication that could affect or impair your judgment at this time.

(f) Check with your medical practitioner if you have a pre-existing medical condition that may be affected by the physical nature of hot air ballooning. You agree to indemnify Floating Images, its owners, officers and employees against any incident related to your health occurring during or after supply of the Services.

(g) Floating Images requires each passenger to sign a standard Floating Images ‘Registration, Medical Check & Assumption of Risk’ before the flight. When you sign this, you are operating under Floating Images Australia Air Operators Certificate SQ578387, issued by the Civil Aviation Safety Authority of Australia. Passengers will be briefed and given safety instructions on the day. This includes take off & landing positions.

(h) Personal belongings taken on board at the passenger’s own risk.

(i) Ballooning is an outdoor adventure activity, and Floating Images cannot be held liable for damage to any clothing and/ or other personal property. Suitable clothing and enclosed sturdy footwear must be worn. No thongs, high heels or open sandals permitted.

13. Safety Requirements & Entry Limitations:
a) Floating Images must comply with the Civil Aviation and Safety Authority (CASA) regulations, as well as its own internal Floating Images operations manual.
Hot air ballooning is an outdoor adventure activity where we use parks or rural properties that can be uneven or overgrown for take-off and landing. Please come dressed as if you were taking a bushwalk and potentially having to a climb fence, with appropriate clothing, a hat, sunglasses and sturdy enclosed footwear. No thongs or open sandals permitted.
While the flight is gentle, landings can be bumpy and the basket may occasionally lay on its side with passengers lying horizontal for a short time. The packing up tasks at the end of the flight are optional and we would appreciate your assistance in this activity. However, they do involve some lifting and participation is entirely voluntary. Passengers that may have mobility limitations are invited to stand back and watch whilst taking pictures of the fun.

All Able & Disabled passengers are able to balloon, although limitations do apply due to the Civil Aviation and Safety Authority (CASA) regulations and internal Floating Images operations manual.

All passengers participating in the balloon flight do so at their own risk and the company accepts no liability for any damage or injury caused.  Floating Images recommends that if you have a pre-existing health condition or impairment, specific need or recovering from recent surgery, that you seek medical advice and consult with your doctor; that may be affected by the physical nature of hot air ballooning before making a booking and participating in a balloon flight.  Please be advised you will be asked to sign a health statement and waiver at our meeting point prior to your flight.

Accessibility & inclusion information is available on the website https://www.floatingimages.com.au/plan-your-trip/accessibility-with-floating-images/ or by contacting the office.  In order to participate fully in the ballooning experience, Floating Images requires customers to let us know prior to your booking or actual flight date, if you have any access or support requirements, to ensure that we can consider any reasonable adjustments.

Floating Images may refuse to fly any Passenger which it considers, in its sole discretion, will be unable to safely stand unaided for the duration of a Flight.  The Pilot in command will make the final decision on whether a passenger is able to climb into the basket unaided and therefore travel on the balloon flight.  In the event that the Pilot refuses to allow a passenger to board on this basis, the Passenger will be given a partial refund through their booking agent or by Floating Images if they booked directly with the Operator.

a) Weight notification: Floating Images will require, for flight manifest purposes all passengers’ names and estimated weights (in kilograms) at least 48 hours prior to your flight date. Please advise the booking office if any client is over 90 kilograms, or has any pre-existing health condition, impairment or specific need. As weight is an important factor in a hot air balloon; passengers weighing 115 kg or over attracts a 50% surcharge.   Due to safety factors passengers over 130 kg cannot participate in hot air ballooning.

b) Minimum Age Requirement: Children. Children ages are between 6 to 12 years.
Children are welcome and must be accompanied by a paying adult. The child must be able to see over the edge of the basket (1.2m high) unaided by any person or objects for safety reasons (eg: no lifting, no stools, blocks or seats). Infants (0 – 5 years) are not permitted due to the Civil Aviation and Safety Authority (CASA) regulations and operation manual guidelines. Adult prices will apply from age 13 upwards. Please note children must be taller than 120 cm to be able to fly.  A weight limit of 50 kg applies to children’s fares; over 50 kgs adult fares apply.

c) Accessibility / mobility limited passengers are able to balloon, although limitations do apply due to the Civil Aviation and Safety Authority (CASA) regulations. CASA requires that all passengers are able to embark and disembark a balloon basket unassisted for safety reasons. There are no wheelchair facilities available for the duration of the ballooning experience. Disabled persons participating in the balloon flight do so at their own risk and the company accepts no liability for any damage or injury caused.

As the flight is for approximately 1 hour, passengers must be able to stand unaided for the duration of the flight. (i.e.: no additional aids such as seats, walkers, sticks or crutches are permitted in the basket). If in doubt, an able bodied person (friend, relative, carer or support person) must accompany the mobility limited passenger. Please contact the booking office prior to the flight of any concerns.

d) Pregnant women: Regrettably under the Civil Aviation and Safety Authority (CASA) and internal Floating Images’ operations manual requirements, Floating Images will not knowingly fly any passenger at any stage of their pregnancy. Passengers who suspect they may be pregnant should check with their doctor before booking or undertaking their balloon flight. Given the outdoor adventure nature of ballooning, Floating Images will not be liable for any claim, loss or damage for any injury caused to a pregnant passenger arising from or in connection with the supply of services.

e) Diving: Those persons diving the day or night before travel should check with a qualified dive master regarding their ballooning journey. We do not fly above 4,500 feet altitude and most flights are around 2,500 feet altitude. Passengers diving the day or night before travel who participate in ballooning do so at their own risk, and the company accepts no liability for any damage or injury caused.

f) Government & Health restrictions: During any Government Health &/ or Covid restrictions, all passengers will be required to follow the FIHABF Health / Covid Policy & Safety Plan requirements, and comply with all Federal Government and Queensland Health requirements imposed at the time of your flight. Please familiarise yourself with any Government & Health authority mandates including the wearing of face masks and how it applies to you, prior to your flight.

14. Additional Booking Information:
a) Standard Ballooning Program: Please allow 3 – 4 hours for the balloon activity program, which includes the inflation, the flight, deflation & packing up, flight program transportation, and after-flight restaurant breakfast with commemorative flight certificate presentation. Flight program, times and duration may vary slightly at the pilot’s discretion. Scenic flight time is approximately 60 minutes of ballooning.

b) All Ballooning Packages advertised on Floating Images website, brochures and fliers include an approximate 60 minute flight. 30 minutes flights are available for group bookings of 18 or more passengers on request.

Our normal ballooning tours depart daily, (weather and numbers permitting of course), and a booking of just 1 person is more than welcome to join others in our basket on the day. In the event that minimum numbers are not met, we reserve the right to reschedule your balloon flight for a later date (see Section 7).

e) Group Passenger bookings:
i) Refers to a booking of 4 or more people booked at the same time in the one scheduled flight date.

Any bookings made using a discount, special offer or prize offering are non-refundable. Bookings are transferable to other individuals and are valid only for the period indicated thereon. All terms relating to Alteration and Cancellation (see Section 9) apply, however the value remains non-refundable.

g) Photography, filming & media
As part of your Floating Images ballooning experience we may, depending on the balloon & resources in use, take photos and/or film on the day for promotional purposes or as a service for passengers to purchase after the flight.

By travelling with Floating Images you are accepting that you assign all copyright in such photos and/or film to Floating Images and acknowledge that Floating Images has and reserves the right to use such photos and/or films in any medium for commercial purposes including advertising, social media or promotions and in any reasonable manner whatsoever without obtaining prior consent, payment or notification to you.

Photos are taken by the pilot and balloon support crew as part of balloon operations and fall secondary to CASA safety requirements and operational Standard Operating Procedures. In some cases the pilot or crew will prioritize these primary tasks and photos will not be taken.

Similarly, due to the outdoor environment within which our operation occurs, photographic equipment failure may occur. Whilst we take precautions against such failure and endeavour to have back-up systems in place, such failure may result in a loss of data and images.

Availability of photos on any flight morning are offered in good faith, and offered on the proviso that photos are available.

Floating Images photographs taken during your flight may be viewed at the after flight restaurant breakfast and are available for purchase by guests who participate in the flight.

h) Travel insurance: is NOT included in the tour price. Floating Images strongly recommends that passengers arrange their own travel insurance to cover against illness, injury, loss/damage to personal belongings and not being able to travel on the confirmed departure date.

i) Aviation Insurance: in Australia is governed by the Civil Aviation (Carriers’ Liability) Act 1964 (Qld). Floating Images’ certificate of Compliance and currency may be viewed on our website www.floatingimages.com.au and by clicking on the item below. Further details may be found at the Civil Aviation Safety Authority (CASA) web site.

j) Insurance Indemnity: Floating Images insurance indemnity is limited to the extent of insurance cover maintained by the company and subject to the Civil Aviation (Carriers’ Liability) Act limits.
